Nova Fundraising AI Usage Policy

1. Purpose

Nova Fundraising is committed to ethical, responsible, and transparent use of Artificial Intelligence (AI) to support our work with small charities and non-profits. AI tools are used to enhance efficiency, creativity, and internal processes — never to replace the human-led, values-driven service we’re known for. 

2. How We Use AI

We may use AI-supported tools for the following purposes: 

• Drafting or editing written content (e.g., funding proposals, reports) 

• Research summaries or idea generation 

• Automating internal administrative tasks 

• Enhancing formatting or structure of documents 

• Grammar and readability improvements 

• Capturing actions and Summaries from client meetings 

All content is reviewed and edited by a human before submission or publication to ensure alignment with client voice, accuracy, and relevance. 

3. What We Don’t Use AI For

We do not use AI to: 

• Make strategic fundraising decisions or recommendations without expert human involvement 

• Input confidential or sensitive client data without safeguards 

• Generate final documents without human oversight 

• Replace relationship-building or client communication 

4. Data Privacy & GDPR Compliance

Nova Fundraising takes data privacy seriously. AI tools are only used where: 

• Tools are reasonably vetted for GDPR compliance 

• No identifiable or sensitive data is input unless anonymised 

• Client consent has been given (where applicable) 

5. Transparency & Client Assurance

If AI-supported tools contribute meaningfully to a deliverable, we will disclose this where relevant. Clients can request more information about how AI is used, and we welcome those conversations. 

Our aim is to use technology with care and integrity, maintaining the trust that underpins all our partnerships.
